DGS Statewide Fleet Management Software System

Background
The State of Maryland, through the Department of General Services (DGS) Office of State Procurement (OSP), is issuing this Request for Proposals (RFP) to procure a fully functional and customizable fleet management software system for the Department of Budget and Management's Fleet Administration Unit (FAU).

The goal is to replace the existing fleet maintenance and repair system, WebFleet Master, with a more robust solution that interfaces seamlessly with various state systems and vendors. This initiative aims to enhance tracking, reporting, and analytical capabilities related to fleet management.

Work Details
The contractor will provide a comprehensive fleet management software system that includes:
1. Customizable on-premise or cloud-based solutions.
2. Integration with existing systems such as the State’s Financial Management Information System (FMIS), fuel vendor systems, and others.
3. Migration of data from the current WebFleet Master system.
4. User access levels for different departments and agencies, including universal access and limited administrator access categories.
5. Functional capabilities including asset inventory management, accident management, maintenance scheduling, work order generation, reporting functionalities with customizable reports, and telematics integration.
6. Training sessions for users throughout the contract duration.
7. Continuous maintenance and support for the software system.

Period of Performance
The contract will have a base period of three (3) years with an option for one (1) additional two-year renewal period.

The primary place of performance will be at 45 Calvert Street, Suite #288, Annapolis, MD 21401.
