Purchase of Conferencing and Audiovisual Equipment

Background
The City of Clermont is soliciting bids from qualified vendors for the supply and delivery of conferencing and audiovisual equipment. The goal of this contract is to furnish enterprise-grade video conferencing systems, audio mixing equipment, and video production hardware that are compatible with Microsoft Teams Rooms environments. This initiative aligns with the City’s mission to enhance communication capabilities within its facilities.

Work Details
The successful vendor will provide the following equipment:

1. Microsoft Teams Rooms SmartVision Bundles (Yealink models MVC S98-C5U-004, MVC S80-C5U-000, MVC S90-C5U-004, MVC S50-C5U-000) in specified quantities.
2. Yamaha 22-Channel Ultra-Compact Digital Mixer with Dante (DM3-D).
3. Blackmagic Design ATEM Television Studio HD8 ISO for video production.

All equipment must be new, unused, and delivered F.O.B. Destination to City facilities at 685 W. Montrose Street, Clermont, FL 34711. Delivery should include all shipping, freight, handling, and delivery charges in the total price.

Period of Performance
The contract will commence upon the issuance of a Purchase Order or Notice To Proceed and will remain in effect until all commodities and services have been delivered and accepted by the City’s authorized representative.

Bidder Requirements
Vendors must provide proof of insurance as specified in the solicitation documents. Insurance must include Commercial General Liability ($500,000 per occurrence), Automobile Liability ($500,000 combined single limit), and Workers’ Compensation as required by Florida Statutes. Vendors must also comply with all Federal, State, and local laws applicable to the services offered.
