Background
The West Virginia State Police is seeking to purchase a Fleet/Inventory management system that can simultaneously manage the vehicle fleet and inventory needs for equipment issuance. The system must be able to advise on vehicle maintenance needs, fuel use, mileage, and issuance of vehicles in the fleet. It should also manage individual issue needs in uniform members' equipment issuance, equipment expiration dates, and equipment inventory maintained by the Agency.
Work Details
The solicitation outlines detailed software requirements including the creation and maintenance of codes within the United States, unlimited notifications/triggers, filtering of records and reports using predefined and custom fields, data migration from flat files to full historical data migrations, mass data entry tools, web-based software with security protocol, customization to agency's needs including security and user management, customizable dashboards with key performance indicators (KPIs) for supervisors and managers, customizable reports specific for West Virginia State Police with prebuilt reports covering various aspects of the system's functionality and data analysis, ability to create or edit work codes and work orders, customizable triggers and event editor to create email and text alerts.
Additionally, it includes requirements for customer support such as a dedicated implementation team and client success manager, support maintenance and upgrades included in the price of the software, a portal with guides, release notes, videos, webinars on how to use the software.
Period of Performance
The contract shall be for a base period of one year with four one-year renewal options. The vendor may request a price adjustment based on the prior year Consumer Price Index (CPI) compared to the current year CPI or 3%, whichever is less. All price adjustments must be approved by the Agency prior to implementation.
Place of Performance
The eligible items must be delivered throughout the State of West Virginia.
