Background
The City of Milwaukee Department of Public Works (DPW) is seeking proposals from qualified vendors to provide vending machine services across various DPW-managed buildings and facilities. The goal of this Request for Proposals (RFP) is to establish a reliable partnership that ensures convenient, affordable, and well-maintained vending services while promoting cleanliness, equipment reliability, and customer satisfaction.
The selected Vendor will be responsible for furnishing, installing, stocking, and maintaining vending machines that offer a variety of high-quality snack and beverage options for City employees and visitors.
Work Details
The Vendor will furnish, install, maintain, service, repair, replace, and stock automatic vending machines for dispensing non-alcoholic beverages, food products, candy, snacks, and other standard vending items as approved by DPW. The machines must be stocked with fresh and high-quality products packaged in sealed containers. The product line-up should include recognizable brand-name snacks and beverages as well as healthy options.
Additionally, the Vendor is responsible for keeping the machines clean and sanitary while ensuring they are regularly serviced to maintain product freshness. Each machine must have non-re-settable meters recording total sales. Equipment maintenance and repairs must be handled within 24 hours of notification by DPW or customers. A written policy regarding reimbursement for lost money in vending machines must also be provided.
Period of Performance
The contract term is three years from May 18, 2026 through May 17, 2029, with two one-year extension options upon mutual agreement.
Place of Performance
Services will be performed at various DPW-managed buildings and facilities in Milwaukee.
Bidder Requirements
Proposers must demonstrate relevant experience providing similar services and provide proof of applicable licenses and certifications. While there is no mandatory Small Business Enterprise (SBE) participation requirement, the City encourages the use of SBE firms for supplementary services. Proposers must submit a Cost Proposal document separately from their main proposal.
