Holiday Light Exhibit Services - Henry Vilas Zoo

Background
The County of Dane, through its Purchasing Division, is seeking proposals for Holiday Light Exhibit Services at the Henry Vilas Zoo. The goal is to create an engaging holiday lighting exhibit that enhances community celebration during the holiday season. The project aims to attract visitors and promote the zoo's brand through a visually and audibly immersive experience.

Work Details
The contractor will develop an award-winning holiday lighting exhibit that includes:
1. A complete creative and execution plan for the show, to be finalized by August 15 each year.
2. Onsite staffing for troubleshooting during the first two nights of the event.
3. Service for any non-functioning elements within 12 hours of notice.
4. Removal of displays within two weeks post-event, not exceeding 30 days.
5. An after-action meeting by March 1 each year to discuss improvements.
6. Event layout including design, timelines, installation, and removal plans.
7. Attendance at a marketing meeting by August 15 each year.

The show must include:
- A grand display incorporating HVZ messaging and sponsorship signage.
- 2D and 3D animal displays made from durable materials with commercial-grade LED lighting.
- Continuous improvement in design and engagement strategies for future events.

Specific zones within the zoo will feature various light displays:
- Zone A: Front Entrance with tree wraps and figures.
- Zone B: Porcupine/Lion area with large trees and themed lighting.
- Zone C: Back Entrance with light curtains and figures.
- Zone D: Arctic Passage with wrapped trees and figures along pathways.
- Zone E: Center of Zoo featuring a significant visual focal point.

Period of Performance
The contract will commence in August 2025 and run through February 28, 2030, covering multiple holiday seasons from November to December each year.
