Background
Eastern Washington University (EWU) is seeking proposals for a comprehensive software solution to manage student experiential learning placements as part of the curriculum for various programs. The College of Health Science and Public Health and the College of Professional Programs require a robust system to facilitate student placements, manage onboarding tasks, and ensure ongoing supervision. The selected vendor must demonstrate experience in developing similar systems at other universities and ensure seamless integration with EWU's existing systems. The project aims to enhance curriculum and accreditation mapping across multiple academic programs including Nursing, Occupational Therapy, and Social Work.
Work Details
The contractor will provide a web-based, hosted Student Experiential Learning Placement Tracking Software that includes:
- A single integrated solution under one contract.
- User-friendly workflows compatible across tablets and computers.
- Compliance with FERPA regulations.
- Management capabilities for both internal and external partners regarding experiential learning activities.
- Maintenance of student records with easy retrieval options.
- Integration with background screening processes and electronic form completion.
- Features such as Single Sign-On (SSO), two-factor authentication (2FA), onboarding notifications, and tracking of compliance requirements (e.g., HIPAA, CPR).
- Functionality for staff to facilitate evaluations, curriculum mapping, document uploads, and communication with students and supervisors.
- Student-specific features for managing clinical placements, tracking hours, and maintaining profiles.
Period of Performance
The contract is expected to commence on July 1, 2026, with a duration of five years, extendable by two additional three-year periods.
Place of Performance
The services will be performed in Washington State as EWU is located in Cheney and Spokane.
Bidder Requirements
Contractors must be licensed to do business in Washington State or commit to obtaining such a license within 30 days of selection. They should have no recent violations related to labor laws or mandatory arbitration clauses in employment contracts. Additionally, bidders must have at least three years of experience providing similar services to higher education institutions or have serviced 50 or more clients.
