Background
The University of Washington (UW) is a major public research institution with over 40,000 employees and 60,000 students across its campuses in Seattle, Bothell, and Tacoma.
The UW Environmental Health & Safety Department (EH&S) assists University units in fulfilling their responsibilities to protect the environment and ensure a safe workplace for research, teaching, and learning.
EH&S is seeking proposals for a comprehensive platform to replace outdated systems and unify safety, compliance, and research oversight functions across the institution.
Work Details
The awarded vendor will provide the following services:
- Implementation Services including end-to-end implementation of EH&S modules, guided discovery workshops with UW stakeholders, configuration of forms and workflows, setup of environments, integration development with UW enterprise systems (e.g., Identity & SSO/MFA), phased implementation support.
- Data Migration Services for legacy systems including chemical inventory and safety data.
- Ongoing Support & Maintenance including help desk services and product updates.
- Training & Knowledge Transfer for administrators and end-users.
- Security, Privacy, and Accessibility measures including encryption and compliance with accessibility standards.
Major program modules requested include Use Authorizations for hazardous materials, Institutional Safety Committee activities, Safety inspections (biological, laboratory), Hazardous Waste Pickup & Disposal management, Radiation Safety management, Chemical Inventory Management, Industrial Hygiene assessments, Reporting & Analytics capabilities.
Period of Performance
The project kickoff is expected immediately post-award with a phased implementation plan that delivers critical functionality within one year.
Place of Performance
The contract will be performed in Washington State.
Bidder Requirements
Vendors must satisfy minimum qualifications stated in the RFP and be available for work in Washington State.
Participation by firms certified as Minority/Women Business Enterprises (M/WBE) is encouraged but not required. Voluntary participation goals are set at 6% MBE and 4% WBE. Additionally, participation by small businesses as defined by the U.S. Small Business Administration is encouraged.
