University Space Management Software

Background
The Virginia Polytechnic Institute and State University (Virginia Tech) is seeking proposals for software and professional services to assist in the tracking, recording, analysis, and reporting of all University space data. The goal is to identify trends, usage density, and potential areas for consolidation within the university's structural assets. This initiative is part of the Office of Space Management's mission to optimize space utilization efficiently and effectively.

Work Details
The selected contractor will provide a campus space utilization platform that can handle various categories and types of space utilization data. Specific requirements include:

- Building and facility data fields such as unique IDs, names, physical addresses, gross square footage, allocation details.
- Room-level data fields including room numbers, seating capacities, current organizations assigned, utilized square footage, assignable square footage, and principal investigators assigned.
- The platform must support continuous real-time data streaming, customizable field creation, multiple data entry points (including CAD integration), analytics dashboards, peer benchmarking capabilities, automated workflows and notifications.
- The system should allow role-based access control with an audit trail for changes made by users. It must also provide a single web-based portal accessible on mobile devices.

Period of Performance
The contract will be for an initial term of one year with options for four additional one-year renewals based on mutual agreement.

Place of Performance
The services will be performed at Virginia Tech's facilities located in Blacksburg, Virginia.

Bidder Requirements
Offerors must demonstrate experience in higher education space utilization analytics with at least three years in the field. They are required to provide references from at least three accredited higher education institutions comparable in size to Virginia Tech. Offerors must also comply with SWaM business participation requirements if applicable and maintain necessary insurance coverages including general liability and workers' compensation.
