Student Life Activities for Northern Virginia Community College

Background
The Request for Proposals (RFP) is issued by the Commonwealth of Virginia, Virginia Community College System (VCCS), to solicit proposals from qualified contractors for event services necessary for Northern Virginia Community College (NVCC) and its six campuses. The goal is to enhance student engagement through various activities provided by the Student Life Office.

The VCCS consists of 23 colleges and central agencies, and awarded contracts may be utilized by any of these entities.

Work Details
The successful contractor(s) will provide a range of event services including:
1. Entertainment and Hospitality Equipment Rental or Lease: This includes interactive games, bounces, mechanical rides, slides, audio-visual equipment, lighting, staging, seating, tabling, tents, tables, dinnerware, decorations, generators, photobooths, and other essentials. The contractor is responsible for transportation, assembly/installation, disassembly, and cleanup.

2. Food Services for Student Events: Contractors must provide a variety of food services tailored to specific themes of events including catered meals (buffet style), beverages (cocoa, hot chocolate, coffee), desserts (cakes, cookies), and accommodate dietary restrictions as required.

3. Amusements and Decorations: This includes party favors, musical entertainment, interactive karaoke options, customizable gifts & toys, themed decorations.

4. General Requirements: Contractors must provide an inventory list of available equipment and products ahead of each event and submit a detailed quote with descriptions of goods/services.

Period of Performance
The contract term is one year with four one-year renewal options or as negotiated.

Place of Performance
Services will be performed at Northern Virginia Community College's six campuses located in Annandale, Alexandria, Woodbridge, Loudoun, Manassas and Springfield.

Bidder Requirements
Contractors must have a current license to provide catering/food services in Virginia. They are required to comply with local/state/federal laws related to the services provided. Additionally, contractors must provide evidence of compliance with the Virginia Amusement Device Regulations if applicable.
