RFQ N1302 Offsite Physical Records Storage, Retrieval, and Destruction Services

Background
Arlington County is seeking a qualified contractor to provide Offsite Records Storage, Retrieval, Delivery, and Destruction Services.
The goal of this contract is to ensure secure storage, maintenance, inventory management, and compliant destruction of physical records.

Work Details
The contractor will be responsible for the following services:
- Secure storage of physical records
- Maintenance of stored records
- Inventory management of records
- Retrieval and delivery of records on demand
- On-demand scanning of records
- Transfer of records from the incumbent service provider
- Compliant destruction of records as per applicable regulations.

Period of Performance
The contract will commence on November 25, 2025, with specific performance timelines to be detailed in the final agreement.

Place of Performance
Services will be performed offsite at a location designated by Arlington County.

Bidder Requirements
Vendors must register in PRISM+, Arlington County’s eProcurement system.
New vendors are required to complete a new registration and select relevant products and services.
Existing vendors must log into their accounts to update offerings.
Registration is necessary to submit responses or ask questions related to the negotiation.
