Request for Proposals #25-0812 Roofing Consultant

Background
The Clarke County Purchasing Office, representing the Clarke County Government, Clarke County Sanitary Authority, and Clarke County Public Schools, is seeking proposals from qualified vendors for roofing consulting services. The intent is to establish a contract for ongoing roofing projects anticipated over the next several years.

The first project is expected to involve an evaluation of the roof at the Boyce Wastewater Treatment Plant, which is approximately 30 years old.

Work Details
The selected vendor will provide various roofing consulting services including:
- Inspecting and evaluating existing roofs and structural foundations;
- Preparing written reports with recommendations for repairs or replacements;
- Creating construction-ready bid specifications for roofing work;
- Participating in pre-bid meetings;
- Monitoring work progress and inspecting repairs/replacements;
- Preparing punch lists.

The first project under this contract will likely focus on the Boyce Wastewater Treatment Plant's roof and structural foundation.

Period of Performance
The initial contract period will be from the signing date until June 30, 2027, with options to renew for four additional one-year terms through June 30, 2031.

Place of Performance
Services will be performed at various locations within Clarke County, Virginia, including the Boyce Wastewater Treatment Plant located at 162 Howards Lane, Boyce, VA 22620.

Bidder Requirements
Vendors must provide proof of insurance coverage including worker’s compensation if employing three or more employees. They must also comply with Virginia laws regarding business operations and may need to obtain a Clarke County Business License before commencing work.

Additionally, vendors are required to submit references from similar projects completed in the last five years.
