Pm Maintenance Service And Repair For Commercial Kitchen Equipment

Background
The Virginia Department of Behavioral Health and Developmental Services (DBHDS) is issuing this solicitation for maintenance services for commercial kitchen equipment at Western State Hospital located in Staunton, Virginia. The goal of the contract is to ensure that all kitchen equipment is maintained according to manufacturers' recommendations, thereby supporting the Nutritional Services department's commitment to high standards of food preparation and safety.

Work Details
The contractor will provide preventive maintenance (PM), corrective maintenance (CM), and emergency repair services for various makes and models of commercial kitchen equipment. The scope includes:

1. Types of kitchen equipment include gas, electric, steam, refrigeration-operated equipment, both stationary and portable.
2. The contractor must have documented experience in similar projects and maintain sufficient licensing and insurance as required by the Commonwealth of Virginia.
3. Technicians must respond to service calls within 24 hours (same day if before 10:00 am) and emergency calls within 2 hours.
4. Non-emergency work will be scheduled Monday through Friday from 8:00 am to 3:00 pm.
5. All replacement parts must be OEM or approved by the Maintenance department.
6. After each PM service, a detailed inspection report must be provided to document any unsafe conditions or deficiencies found during service.
7. Repairs costing less than $250 can be performed during PM service without prior approval; those over $250 require approval from the Director of Nutritional Services.
8. The contractor will develop a 'WSH Kitchen Equipment Condition & Replacement Schedule' within the first six months of the contract start date.

Period of Performance
The initial term of the contract is one year, starting from August 1, 2025, through July 30, 2026, with options to renew for four successive one-year periods.

Place of Performance
All work will be performed at Western State Hospital located at 103 Valley Center Dr, Staunton, VA.

Bidder Requirements
Bidders must be regular dealers with experience in servicing kitchen equipment. They are required to provide documentation of training and certifications for technicians involved in servicing under this contract. Bidders must also submit their hourly rates for standard work, overtime, emergency calls, and holiday rates along with their bids.
