IFB #25-2837-4JMH - OEM Parts and Repairs for BMW Police Motorcycles

Background
The County of Henrico, Virginia, through its Division of Police and Central Automotive Maintenance Division, is issuing this Invitation for Bid (IFB #25-2837-4JMH) to establish an annual contract for the provision of Genuine Original Equipment Manufacturer (OEM) Repair Services, Parts, Components, and Accessories for BMW Motorrad Authorities Police Motorcycles.
The goal is to ensure that the County's police fleet remains operational and well-maintained with high-quality OEM parts and services.

Work Details
The contract includes the following services and products:
1. Provision of OEM Repair Services for BMW Motorrad Authorities Police Motorcycles.
2. Supply of OEM Parts, Components, and Accessories as needed.
3. All items must be OEM authorized; used or reconditioned parts are not acceptable.
4. Successful bidders must maintain adequate stock to ensure immediate delivery of requested automotive accessories and parts.
5. Delivery requirements include:
- Standard delivery within 48 hours for replenishment orders;
- Emergency requests may require delivery within 2 hours.
6. All shipping costs must be included in the product price; no additional fees will be accepted.
7. Bidders must provide a point of contact for order placements and ensure all orders are delivered in their entirety unless otherwise arranged.

Period of Performance
The initial contract period is one year from the date of award, with options to renew for four additional one-year periods at a price not exceeding 3% above the previous year's prices.

Place of Performance
Services will be performed at the Successful Bidder's location within fifty (50) miles of the County’s Central Automotive Maintenance – West complex located at 10301 Woodman Road, Glen Allen, VA 23060.

Bidder Requirements
Bidders must be authorized to transact business in Virginia and provide proof of such authorization. They must also comply with all applicable federal, state, and local laws including OSHA regulations.
The Successful Bidder shall perform all work using their own workforce and equipment; subcontracting is not permitted without prior written consent from the County.
