Accreditation Software

Background
The Virginia Community College System (VCCS) is a state agency governed by the State Board for Community Colleges, consisting of twenty-three colleges across Virginia. Each college is accredited by the Southern Association of Colleges and Schools – Commission on Colleges (SACSCOC). The VCCS serves approximately 215,000 students annually and aims to provide resources to assist colleges in the accreditation process. This RFP seeks proposals for a Commercial Off-The-Shelf (COTS) accreditation assessment management software solution to manage reaffirmation and interim reviews conducted by SACSCOC every five years.

Work Details
The successful offeror will provide a COTS accreditation assessment management software solution that includes:

1. Implementation, ongoing maintenance, support, and licensing of the software.
2. Ability to upload, download, copy, paste, and manage accreditation documents and confidential items.
3. Support for unlimited users and SACSCOC review teams with scalability without compromising performance.
4. Centralized electronic approach with customization capabilities for templates related to SACSCOC standards.
5. Automated and ad hoc printing capabilities, searchable audit trails, version control, and external/internal compliance report viewing options in multiple formats.
6. Support for all current technology platforms including web browsers and mobile devices (iOS/Android).
7. Customizable dashboards and reporting tools.

Period of Performance
The contract term is two (2) years with four (4) optional two-year renewals at VCCS's discretion.

Place of Performance
The services will be performed across various locations within the Virginia Community College System as needed.

Bidder Requirements
Offerors must comply with all applicable laws and industry standards in performing services under this agreement. They must also be authorized to transact business in Virginia as required by law. Additionally, any third-party service providers must comply with PCI DSS if applicable.
