25-28-3271AM Uninterruptable Power Supply

Background
The Hanover County, Virginia, Finance and Management Services Department is issuing this Invitation for Bids (IFB) # 25-28-3271AM to establish a term contract for Uninterruptible Power Supply (UPS) maintenance services. The goal of this contract is to ensure the reliable operation of UPS systems critical for various county facilities, thereby supporting the mission of providing essential services to the community.

Work Details
The contractor shall provide inspection, maintenance, new installations, and repair services for Uninterruptible Power Supplies (UPS) on an as-needed basis. Specific tasks include:

1. Quarterly Services (three times per year):
- Check integrity of battery cabinet;
- Visual inspection of battery cabinet and/or room;
- Check connections for NO-OX grease or oil;
- Check battery jars for proper liquid level;
- Inspect terminals and cables for corrosion;
- Examine cleanliness of battery room;
- Measure and record DC bus ripple voltage;
- Measure and record total battery float voltage.

2. Annual Preventative Maintenance Service: Includes all quarterly tasks plus:
- Temperature checks on breakers and connections;
- Complete visual inspection of equipment;
- Check air filters for cleanliness;
- Additional checks on rectifier and inverter components.

3. New installations will be provided upon request with a quote required within one week. The contractor must also provide estimates for repairs outside of scheduled inspections at no cost to the County.

Period of Performance
The contract period is from July 1, 2025, through June 30, 2026, with options for renewal.

Place of Performance
Services will be performed at various locations within Hanover County, Virginia.

Bidder Requirements
Bidders must be registered in the eVA Internet electronic procurement solution. They must comply with all applicable local, state, and federal laws regarding employment discrimination and maintain a drug-free workplace. Contractors must have at least five years of related experience and be licensed appropriately based on the value of contracts undertaken.
