2025 VA Highway Safety Summit Venue

Background
The Virginia Department of Motor Vehicles (DMV) is a governmental agency in the Executive Branch of the Virginia State Government, responsible for administering motor vehicle and transportation-related laws.

The DMV aims to enhance highway safety through collaboration with various agencies and organizations. The 2025 Virginia Highway Safety Summit seeks to bring together law enforcement, state agencies, educational institutions, and non-profit partners to address highway safety issues and promote best practices.

Work Details
The contractor will provide conference facilities, overnight hotel accommodations, and meals for approximately 200 individuals during the DMV Highway Safety Summit. Specific requirements include:

1. A well-maintained hotel and conference facility that meets all relevant codes.
2. Conference facilities accommodating up to 375 participants with classroom-style seating.
3. Catering services for breakfast, lunch, and breaks over three days (May 19-21, 2025), including buffet-style meals for approximately 375 attendees each day.
4. A block of 250 overnight rooms reserved from May 18-21, 2025.
5. Audio/visual equipment and support throughout the event.
6. Dedicated Single Point of Contact (SPOC) for coordination with DMV staff.

Period of Performance
The contract period is from the date of award through May 21, 2025.

Place of Performance
The conference facilities are preferred in the Metropolitan Richmond Area, including Chesterfield County, Henrico County, and Richmond City.
