2024 Wic Fall Conference

Background
The Virginia Department of Health, Division of Community Nutrition is seeking proposals from qualified firms to assist in hosting the 2024 WIC Fall Conference. The conference aims to communicate procedural implementation of new and revised state and federal policies issued by the U.S. Department of Agriculture (USDA) and is vital to the WIC program's delivery of services to more than 160,000 residents participating in the Virginia Nutrition program for Women, Infants, and Children (WIC).

Work Details
The conference will be two and a half days in length, from September 9 to September 11, 2024. The venue must be located within 5 miles of Virginia Center Parkway, Glen Allen, VA. Onsite parking accommodations must be provided free of cost to all attendees. There shall be no construction occurring near or around the used meeting rooms. Security measures shall be in place for the safety of guests and their property.

The meeting space requirements include pre-registration and registration areas, meeting rooms with specific setups and equipment/supplies needed, internet connectivity with an available AV Technician assigned for all days, separate private space for lactation, vendor space for approximately 15 vendors, and a reception and award ceremony space accommodating up to 150 people. Additionally, 100 standard queen/double sleeping rooms are needed beginning on September 8, 2024 with check-out on September 11, 2024. Complimentary snacks shall be provided for breakfast and mid-afternoon all three days during the meeting; lunch will be provided at the venue.

Period of Performance
The period of contract is from August 1, 2024 through December 31, 2024.

Place of Performance
The venue must be located within 5 miles of Virginia Center Parkway, Glen Allen, VA.
