SPCC & MAEC Audio Visual Services - RFP

Background
The Salt Palace Convention Center and Mountain America Expo Center, owned by Salt Lake County and managed by ASM Global, are seeking proposals for Audio-Visual Services. The goal is to identify a Preferred Audio-Visual Supplier to enhance guest experiences and support events with world-class production quality. This RFP does not grant exclusivity, allowing event organizers to select other qualified vendors as needed.

Work Details
The Preferred Audio-Visual Provider will deliver full service, on-site support for conventions, trade shows, and meetings at both Facilities. This includes:

- Audio-visual equipment rentals and staging for all event types;
- Exclusive rigging attachments for the SPCC Grand Ballroom;
- Production services including lighting, scenic design, and projection design;
- On-site technical support and event management;
- Video conferencing and hybrid meeting support;
- Maintenance and operation of in-house AV systems;
- Equipment delivery, setup, teardown, and warehousing;
- Consultative discussions for upcoming renovation planning at the Salt Palace Convention Center.

Providers must maintain an adequate on-site inventory, a qualified full-time manager, and trained technicians to meet the needs of simultaneous large-scale events.

Period of Performance
The term of the resulting agreement will be three (3) years beginning January 01, 2026, with an option to renew for an additional two (2) years upon mutual consent and satisfactory performance.

Place of Performance
Services will be performed at the Calvin L. Rampton Salt Palace Convention Center and Mountain America Expo Center located in Salt Lake City, Utah.

Bidder Requirements
Proposers must include a company profile and ownership structure, resumes of key personnel including the proposed on-site manager, a rate sheet with a sample client invoice, a marketing or partnership plan outlining support for venue sales efforts, and three client references preferably from convention centers or similar venues. The Provider must also maintain insurance coverage meeting ASM Global’s requirements.
