Texas Veterans Commission RFI 2027 Annual Conference

Background
The Texas Veterans Commission (TVC) is issuing a Request for Information (RFI) to gather insights from qualified vendors capable of providing lodging, meeting space, and audio/visual (A/V) services for the 2027 TVC Annual Conference.

This annual in-person training event aims to deliver timely, job-relevant training through general sessions and role-specific breakout sessions, requiring full staff attendance. The goal is to secure a venue that offers the best value to the State of Texas while meeting operational and training requirements.

Work Details
The contract will involve providing the following services and facilities:
1. Lodging:
- Estimated 592 direct-bill attendees per night at peak, with a courtesy room block of up to 230 rooms per night.
- Total estimated room nights: approximately 2,088.
- Minimum of 10 ADA-compliant rooms per night with roll-in showers preferred.
- Additional amenities include rooms with refrigerators/microwaves, complimentary Wi-Fi, and a government rate locked at contract execution.

2. Meeting Space:
- Total baseline requirement of 24 meeting spaces including:
- 1 large general session room (capacity 700-800).
- 1 secondary ballroom (capacity ~200).
- Up to 24 breakout rooms (capacity 35-50 each).
- Boardrooms/support rooms (4 total).

3. Audio/Visual Services:
- General session A/V support including podiums, microphones, sound systems, projectors/screens, and technical support.

4. Facility Requirements:
- Dedicated registration area available from Day 0 through Day 2.
- Secure planning room for up to 20 staff members.
- Compliance with ADA standards for accessibility.

Period of Performance
The contract term will commence from the date of award and continue through the completion of services for a four-day conference anticipated to occur between October 2027 and January 2028.

Place of Performance
The facility must be located within the State of Texas, with preferred locations including the Dallas-Fort Worth Metroplex, Houston/Galveston area, San Antonio/New Braunfels/San Marcos area, Austin area, Corpus Christi, and Bryan/College Station area.

Bidder Requirements
Respondents must demonstrate capacity in terms of staff, facilities, and equipment; be in good financial standing; and provide three references from similar projects within the past five years.
