RFB# 2025-040-RC-03 Generator Maintenance & Repair

Background
The City of Hutto, a home rule municipality, is seeking sealed bids from qualified vendors to provide on-site maintenance and repair services for generators located at various city facilities. The goal of this contract is to ensure that all generators are maintained in optimal working condition to support the city's operational needs across multiple departments.

Work Details
The contractor will provide comprehensive on-site maintenance and repair services for generators, including troubleshooting, servicing, ordering and replacing parts as per manufacturer's recommendations. Specific tasks include:

1. Performing a minimum of three quarterly preventative maintenance inspections annually, ensuring all systems are visually checked and manually tested for reliability.

2. Responding to service calls within specified timeframes: one hour for emergency calls and four hours for non-emergency calls.

3. Conducting annual maintenance which includes checking fuel levels, changing oil and filters, conducting load tests, and ensuring all safety shutdowns are operational.

4. Maintaining an inventory of parts with 85% available on-site within 24 hours for repairs.

5. Providing detailed malfunction reports and maintaining service records for each generator serviced.

Period of Performance
The contract will commence upon award and will continue through the specified duration outlined in the solicitation documents, with ongoing maintenance services required throughout the contract period.

Place of Performance
Services will be performed at various locations within the City of Hutto, Texas, including but not limited to: Enclaves Lift Station, RSI Lift Station, Creekside Lift Station, Carl Stern Tank Yard, Country Estates Lift Station, Farley MS Lift Station, Glenwood Lift Station, Northwest Tank Yard, Shiloh Plant, Well 11, City Hall, Police Department, Public Works Yard #1 & #2.
