Background
ChildCareGroup (CCG) is soliciting proposals for a professional head start management software for its Early Head Start program. Established in 1901, CCG's mission is to champion a strong two-generation system that teaches children and parents, trains early childhood professionals, and assists families in building prosperity through employment and training. CCG serves children through Early Head Start and Head Start in Dallas and Navarro counties through five federal grants with various childcare program models.
Work Details
The selected vendor will provide professional software management to meet the required Office of Head Start Performance Standards. The software must include capabilities for:
A. Customizable features to meet agency needs
B. Data collection and reporting components including:
i. ERSEA (Eligibility, Recruitment, Selection, Enrollment, Attendance) capabilities
ii. Family Engagement
iii. Health
iv. Inclusion
v. Education
vi. Management
vii. Compliance Monitoring
C. Custom report generation
D. Customized training and consultation availability
E. Electronic signature pad functionality
F. Ability to pull reports for annual PIR (Program Information Report)
G. Tracking and reporting of in-kind contributions
H. Capability to receive and store file attachments
I. Task tracking features such as calendars and reminders
J. Communication tools for parents via email/text
K. Sharing photos/videos with parents
L. Messaging capabilities for employees/classrooms.
Period of Performance
The contract term is one (1) year with four (4) optional one-year renewal periods.
Place of Performance
The services will be performed at ChildCareGroup's administrative offices located at 3000 Pegasus Park Drive, Suite 800, Dallas, TX 75247.
Bidder Requirements
Proposers must demonstrate the ability to meet all aspects of CCG’s needs outlined in the Scope of Work, including experience working with non-profits or similar organizations, financial stability, and compliance with insurance requirements as specified in the RFP.
