Musical Instruments, Supplies and Repairs

Background
The Lewisville Independent School District (LISD), on behalf of the Educational Purchasing Cooperative of North Texas (EPCNT) and the Central Texas Purchasing Alliance (CTPA), is seeking competitive sealed proposals for the procurement of musical instruments, supplies, and repairs. This solicitation aims to establish compliant vendors and costs for EPCNT and CTPA district procurement. The proposal is open to over seventy member districts in Regions X and XI, with additional districts eligible to participate. The contract will be awarded at the District's discretion, potentially to multiple vendors or a single vendor based on best value.

Work Details
Vendors are requested to provide discounts off their entire catalog of musical instruments, supplies, and repairs. There is no specific list of items; instead, vendors should submit a percentage discount applicable to all products offered. The proposal includes various categories such as Brass, Percussion, Strings, Woodwinds, Performing Arts Furniture, Electronic/Other Equipment, Equipment Repair and Service.

All mouthpieces must be quoted as professional grade. Vendors must ensure that all instruments are delivered in playing condition and provide warranties on all items offered. Special pricing promotions may also be available for participating districts.

Period of Performance
The initial contract term will commence on October 20, 2025, and conclude on October 19, 2027. There are options for two successive renewals of two years each, contingent upon mutual consent and approval by the LISD Board of Trustees.

Place of Performance
The contract will be performed within the geographic boundaries of the Lewisville Independent School District and its member districts.

Bidder Requirements
Vendors must submit required bid attachments including a W-9 form, insurance certificate, Form 1295 (Certificate of Interested Parties), and a public records agreement. Vendors must also comply with federal regulations regarding criminal background checks for employees who may have contact with students.

Additionally, vendors must certify that they do not have affiliations with abortion providers or foreign terrorist organizations as per Texas Government Code Chapter 2272.
