Background
The Health and Human Services Commission (HHSC) Procurement and Contracting Services (PCS) is issuing this Invitation for Bid (IFB) on behalf of the Department of Family and Protective Services (DFPS).
The purpose of this contract is to provide hotel/meeting space, services, and accommodations for the 'DFPS Statewide Contracting Meeting' scheduled for four consecutive business days between April 2026 and June 2026. Work Details
The contractor will provide hotel/meeting space, services, and accommodations for four consecutive business days (excluding federal and state holidays). Specific requirements include:
1. Meeting space that accommodates up to 250 attendees with appropriate seating arrangements.
2. Six breakout rooms accommodating a minimum of 40 attendees each.
3. A pre-registration area with at least three skirted tables and chairs.
4. A Welcome Reception area for networking on the first evening.
5. Audio/visual support including projectors, microphones, and screens in all meeting rooms.
6. Overnight lodging for 190 attendees at GSA prevailing rates.
7. Additional amenities such as complimentary Wi-Fi, parking, breakfast buffet for overnight guests, and potential discounts.
Period of Performance
The contract will commence upon award and is expected to run until August 31, 2026.
Place of Performance
The services will be performed at a hotel or conference center located within Texas that meets the specified requirements.
Bidder Requirements
Respondents must comply with insurance requirements outlined in the DFPS Vendor Uniform (Exhibit B). There are no specific set-aside certifications required; however, if subcontracting is necessary, a HUB Subcontracting Plan must be submitted if applicable.
