Facilities Management Software and Solutions

Background
The Region 4 Education Service Center (Region 4 ESC) is issuing a Request for Proposal (RFP) for Facilities Management Software and Solutions. The purpose of this contract is to provide comprehensive software solutions that support the facilities management needs of public agencies. The RFP aims to enhance operational efficiency and improve service delivery through advanced technology solutions.

Work Details
The contractor will be responsible for providing a comprehensive facilities management software solution that includes the following services:

- Asset management
- Work order management
- Preventive maintenance scheduling
- Inventory control
- Reporting and analytics capabilities
- User training and support
- Integration with existing systems

The contractor must ensure that the software is user-friendly and accessible to all relevant personnel within the public agencies. Additionally, ongoing technical support and updates should be provided as necessary.

Period of Performance
The initial term of the contract will be for three (3) years starting from September 1, 2026, with an option for Region 4 ESC to renew for up to two (2) additional years at their discretion.

Place of Performance
The services will be performed primarily at the facilities of Region 4 ESC located at 7145 West Tidwell Road, TX 77092. However, remote support and online training may also be provided as part of the service.

Bidder Requirements
Bidders must comply with all applicable local, state, and federal regulations. They are required to submit a completed Offer and Contract Signature Form, a Deviation Form if applicable, an updated Form W-9, and any necessary certifications such as M/WBE or HUB certifications if applicable. Bidders must also disclose any conflicts of interest as per Texas Local Government Code Chapter 176.
