Background
The Texas Department of Transportation (TxDOT) is issuing this solicitation for Event Planning and Management Services to establish a contract for various conferences and events organized by multiple divisions within TxDOT. The goal of this contract is to ensure professional coordination and management of these events, enhancing the effectiveness and efficiency of TxDOT's operations.

Work Details
The contractor will provide comprehensive event planning and management services, including but not limited to:

1. Coordination of logistics for conferences and events, including venue selection, vendor management, catering services, transportation arrangements, and lodging reservations.

2. Development of event timelines, milestones, and promotional materials in collaboration with TxDOT staff to ensure alignment with branding guidelines.

3. Management of pre-event logistics and contracts with venues and vendors.

4. Preparation of break-even analyses and project cost estimates for events, ensuring cost efficiency.

5. Review of invoices and reconciliation of all event-related expenses to ensure accuracy.

6. Delivery of post-event debriefs and financial summary reports detailing insights shared with TxDOT.

Period of Performance
The contract period will commence upon award on November 1, 2025, with specific timelines for each event as determined by TxDOT's operational needs.

Place of Performance
Services will be performed at various locations as designated by TxDOT for each specific conference or event.

Bidder Requirements
Respondents must demonstrate financial stability by providing the most recent three years of audited financial statements or certified un-audited statements. Additionally, they must comply with all applicable federal, state, and local laws regarding licensing and performance standards. A Historically Underutilized Business (HUB) Subcontracting Plan is required as subcontracting opportunities are probable in connection with this solicitation.
