Event Management Services Port of Eagle Pass Trade Summit

Work Requested:
The City of Eagle Pass, Texas is seeking comprehensive Event Management Services for the Port of Eagle Pass Trade Summit. The selected Consultant will be responsible for:

• Enhancing the overall quality and execution of the Trade Summit
• Expanding sponsorship development and revenue opportunities
• Strengthening regional and national event positioning
• Improving the experience for attendees, speakers, and stakeholders
• Supporting marketing, branding, and outreach initiatives
• Delivering professional event coordination and logistical management services

The Consultant will collaborate closely with City staff, elected officials, sponsors, partner agencies, vendors, and stakeholders to ensure the event aligns with the City's strategic vision and economic development goals.

The event has experienced significant growth in attendance, sponsorship, regional visibility, and stakeholder engagement. The City aims to partner with a qualified Consultant to support and elevate the next phase of the Trade Summit's growth and long-term success.

Contract Requirements:
The City is soliciting sealed proposals through RFP#2026-016 from qualified and experienced professional event management, conference planning, marketing, sponsorship development, and related consulting firms. The Consultant must provide services in an organized and fiscally responsible manner.
