Texas Woman's University ( TWU ) is seeking competitive responses to a Request for Proposal ( RFP ) for audio visual services for commencement ceremonies at the Denton campus. This RFP provides sufficient information for interested parties ( Proposers ) to prepare and submit Proposals for consideration by TWU. Additional information may be made available by written request to the point of contact indicated provided on the RFP coversheet.

The Proposal should be prepared simply and economically, providing a straightforward, concise description of the Proposer's ability to meet the requirements of this RFP. Emphasis should be on completeness, clarity of content, responsiveness to the requirements, and an understanding of TWU's needs.

By submitting a Proposal, the Proposer certifies that it understands this RFP and has full knowledge of the scope, nature, quality, and quantity of the work to be performed, the detailed requirements of the Services to be provided, and the conditions under which the Services are to be performed. The Proposer also understands that all costs relating to preparing and responding to this RFP will be the sole responsibility of the Proposer. If selected by TWU, the Proposer will notify TWU immediately of any material change in any matters with regard to which the Proposer has made a statement or representation or provided information.

Background
Texas Woman’s University (TWU) is seeking competitive responses to a Request for Proposal (RFP) for audio visual services for commencement ceremonies at the Denton campus. Founded in 1901, TWU serves marginalized populations in higher education and is recognized for its diverse student body and contributions in various fields. The university aims to provide high-quality audio visual services to enhance the commencement experience.

Work Details
The selected Proposer will provide audio visual equipment and labor for TWU's commencement ceremonies, including:

1. A 16:9 rear projection screen (minimum 15'x20') with 15K-20K lumen rear projection.
2. Black drapery for the screen extending 12' from each side.
3. Two camera shots from different angles using a sports lens.
4. Live technical direction during the ceremonies.
5. A 32-channel audio mixing board with black drapery around it.
6. Four speakers with power amplification, two as stage monitors and two at the back of the arena.
7. Choir/band overhead microphone and three lectern microphones (two on stage, one tabletop).
8. A live audio technician and digital recordings of each ceremony.
9. Setup on Wednesday prior to the event, testing on Thursday, and teardown after the last ceremony on Saturday.

Period of Performance
The contract is anticipated to begin upon execution and will last for one year, with options for up to three one-year renewals based on mutual agreement.

Place of Performance
The services will be performed at Texas Woman’s University’s Denton campus during the commencement ceremonies scheduled for December 12-13, 2025, and May 08-09, 2026.

Bidder Requirements
Proposers must comply with TWU's Historically Underutilized Business (HUB) guidelines and submit a HUB subcontracting plan if their proposal is valued at $100,000 or more.
