Background
The Texas A&M University System (A&M System), Office of Facilities Planning & Construction (FP&C), is seeking qualifications from companies with demonstrated experience in audio visual (AV) system design, procurement, and installation. The A&M System aims to improve and expand its facilities to support its teaching, research, and service missions. This RFQ intends to establish a master services agreement with multiple companies to meet the AV needs across various projects managed by FP&C and other A&M System members.
Work Details
The selected AV integrators will provide services including:
1. Pre-construction Phase:
- Assist in developing AV requirements and costs for a Program of Requirements.
- Participate in design phases to establish AV systems and infrastructure requirements.
- Review design documents for compatibility with AV system requirements.
- Attend design review meetings as necessary.
- Provide AV infrastructure design documents for bidding by contractors.
- Maintain a list of AV equipment by room with estimated costs throughout the design process.
- Provide a schedule for procuring AV equipment and installation during construction.
2. Procurement Phase:
- Prepare lists of equipment by room for owner approval prior to procurement.
- Provide quotes for purchase orders and necessary submittals.
3. Construction Phase:
- Coordinate with the design team and general contractor during installation of all AV infrastructure items.
- Attend weekly coordination meetings during construction.
- Manage delivery, storage, and installation of all AV equipment, ensuring completion aligns with project schedules.
- Provide training on the use of all installed AV systems and deliver warranties along with operating manuals.
Period of Performance
The initial term of the agreement is anticipated to be three (3) years, with options to renew for up to two additional one (1) year terms upon mutual agreement.
Place of Performance
Services will be performed at various locations managed by the Texas A&M University System across Texas as specified in project assignments.

Respondents must demonstrate significant experience in providing audio visual integrator services, preferably within higher education settings. They are required to submit a State of Texas Subcontracting Plan (SP) form if the contract value exceeds $100,000, indicating good faith efforts to utilize HUBs/VetHUBs for subcontracting opportunities.
