Bid 1582 - Robertson County Health Department - Housekeeping Services

Background
The Robertson County Health Department is seeking proposals for housekeeping services to maintain cleanliness and sanitation standards at its facilities. The department serves approximately 300 patients and employs 29 staff members, operating from 7:30 AM to 4:30 PM, Monday through Friday. The goal of this contract is to ensure a hygienic environment that meets the high standards expected of a medical institution.

Work Details
The contractor will provide complete custodial services, including but not limited to supervision, cleaning personnel, equipment, supplies, tools, and materials necessary for housekeeping. Specific tasks include:
- Daily cleaning of exam rooms and offices, including vacuuming carpets and mopping floors.
- Wet cleaning of hard surface floors three times per week.
- Spot cleaning walls, doors, and electric switch plates as needed.
- Emptying and cleaning wastepaper baskets five days per week.
- Cleaning and disinfecting restrooms daily.
- Maintaining outside grounds free of trash daily within a fifty-foot perimeter.
- Monthly window cleaning for ground floor exteriors and annual cleaning for other exterior windows.
- Providing emergency response for cleaning if areas are found unsatisfactory upon inspection.

Period of Performance
The contract will commence on October 1, 2025, and will last for nine months until June 30, 2026. There is an option for up to four one-year extensions based on performance and funding availability.

Place of Performance
Housekeeping services will be performed at the Robertson County Health Department located at 800 South Brown Street, Springfield, TN 37172, as well as the Robertson County Dental Office at 806 South Brown Street.

Bidder Requirements
Bidders must attend a mandatory pre-bid meeting on August 20, 2025. They must submit evidence of qualifications including at least three similar accounts in size and type of service. A bid bond of 5% of the total bid amount is required within ten working days after bid acceptance. Contractors must comply with all state laws regarding personnel management and provide proof of insurance coverage including workers' compensation and general liability.
