Background
The Metropolitan Government of Nashville and Davidson County (Metro) is issuing this Request for Quotation (RFQ) for Audio-Visual Equipment Purchase, Repair, and Maintenance Support Services. The goal of this contract is to establish an indefinite delivery/indefinite quantity (IDIQ) agreement with qualified vendors to provide repair maintenance and support services for current and future audio-visual systems equipment. This includes supplying audio-visual products and accessories on an as-needed basis.
Work Details
The contractor will provide the following services:
- Timely service calls including updates, maintenance, and troubleshooting for specified equipment.
- Flexibility in scheduling to minimize disruption.
- Asset management with detailed records.
- Hands-on training sessions for Metro employees.
- Installation services including cable termination, rack builds, display mounting, network setup, and custom programming.
- Compliance with Metro ITS network and security standards.
The contractor must also provide on-site technical support services which include installation, integration, relocation, troubleshooting, training, repairs, and preventative maintenance. Additionally, the contractor will be responsible for providing written maintenance reports after on-site visits and may be required to conduct emergency services with a two-hour response time. The contractor shall also offer products such as inside delivery with buyer set-up and installation, standard end-user training, a minimum one-year warranty for parts coverage from installation acceptance by Metro, and a thirty-day money-back guarantee on unsatisfactory products.
Period of Performance
The contract period will commence upon award and will continue until terminated by either party or until the completion of all required services as specified in the contract. Specific timelines for service requests will be defined in individual purchase orders issued by Metro.
Place of Performance
Services will be performed at various Metro locations within Davidson County, Tennessee.
Bidder Requirements
Bidders must comply with M/WBE participation goals of 4% for Minority Business Enterprises (MBE) and 7% for Women Business Enterprises (WBE). All subcontractors must be registered in iSupplier prior to the solicitation deadline. Additionally, bidders must provide a Certificate of Insurance within seven days of receiving an intent to award letter. Required insurance includes:
- Products Liability Insurance
- General Liability Insurance
- Professional Liability Insurance
- Automobile Liability Insurance
- Worker's Compensation Insurance.
