RFP 126-24 Communications and Website Platform

Background
The School District of Greenville County (District) is seeking proposals for a comprehensive Communications and Website Platform to enhance communication and manage district/school websites. The District serves approximately 78,000 students and 11,000 employees across more than 100 schools and facilities. This initiative aims to improve communication between parents and school staff, streamline website management, and provide easy access to critical information.

Work Details
The awarded vendor will be responsible for providing a scalable, secure software solution that includes:
- Full implementation of a new district website by June 30, 2026.
- Full implementation of all new school websites by June 30, 2026.
- Streamlined website creation and navigation for the District Website.
- Improved communication between parents and school staff through two-way communication capabilities.
- Easy-to-use tools for updating website content.
- Integration with existing systems such as PowerSchool and ClassLink.
- Features such as user account management with customizable permissions, multi-factor authentication, accessibility compliance (WCAG), mobile-first design, translation capabilities, and intranet functionality.
- A communications platform that can send mass notifications within specified timeframes (e.g., attendance calls within 30 minutes) and allows for the creation of templates at the district level.
- Training support for staff in both virtual and in-person formats.

Period of Performance
The contract will be awarded for an initial period of five (5) years from the date of award, with options to extend annually for up to five additional years if mutually agreed upon by the District and the successful proposer.

Place of Performance
Services will be performed primarily at Greenville County Schools located in Taylors, South Carolina.

Bidder Requirements
Proposers must submit their bids through the Procurement Portal by October 28, 2025. The proposal must be signed by an authorized individual who can bind the vendor to the terms of the solicitation. No subcontracting is allowed without prior written approval from a GCS Procurement Officer.
