Background
Clemson University is seeking proposals from experienced national touring agencies to assist in planning and implementing the travels for Clemson University’s International Choir Tour scheduled for May 2027. The travel group will consist of approximately 48 attendees, including 45 students and 3 faculty members. This contract aims to provide a comprehensive travel experience that emphasizes cultural immersion, educational value, and high-quality performance opportunities.
Work Details
The Successful Offeror shall provide comprehensive, turnkey travel planning, management, and execution services for the choir's international performance tour. The tour will last for 10 days and include informal and full-length concerts at historic venues primarily in Italy or Spain. Services required include:
- All planning, coordination, transportation (including round-trip air transportation), lodging (three- to four-star accommodations), performances, excursions, staffing (including a qualified tour manager fluent in applicable languages), and contingency management.
Specific requirements include:
- All transportation must be included, with the group traveling together on a single bus.
- Lodging must be double occupancy maximum with two planned meals per day.
- A crisis management plan addressing various emergencies must be provided.
- All employees providing services must pass background checks and drug screenings completed within the last 24 months.
Period of Performance
The contract will be performed over a period of approximately 10 days in May 2027.
Place of Performance
The tour will primarily take place in Italy or Spain, with ground transportation starting from Clemson University in South Carolina.
