Backstage Catering Services-Dell Music Center

Background
The City of Philadelphia, through its Parks and Recreation Department, is seeking catering services for the Dell Music Center's 2025 Essence of Entertainment Summer Concert Series.
The Dell Music Center is an outdoor amphitheater located at 2400 Strawberry Mansion Drive, Philadelphia, PA.
The contract aims to provide high-quality catering services for approximately 8 to 12 events scheduled between July 1 and October 1, 2025.
This initiative supports the City’s mission to enhance community engagement through cultural events.

Work Details
The successful bidder will provide backstage catering services for performing artists and their representatives during the concert series.
Services include:
- Catering for confirmed event dates: July 10, 17, 24, 31; August 7, 14, 21, and 28.
- Estimated attendance of 80 to 120 people per event.
- Delivery of hot meals by no later than 4 PM on event days with setup prior to showtime.
- Provision of a variety of menu items including two entrée options (chicken, fish, or beef), one vegan option, one starch (potato or rice), one vegetable option, dinner rolls, salad, dessert, and beverages.
- High-quality disposable paper products must be included in the pricing.
- Caterers must submit sample menus with their bids and be prepared for a tasting evaluation based on taste (40%), aroma (30%), and texture (30%). A minimum average score of 100% is required for acceptance.

Period of Performance
The contract period is from July 1, 2025 through June 30, 2026 with options for up to four additional one-year renewals.

Catering services will be performed at the Dell Music Center located at 2400 Strawberry Mansion Drive, Philadelphia, PA.

Bidder Requirements
Bidders must have all necessary licenses and certifications applicable to health and safety regulations as per Philadelphia code.
All food service operations must be conducted in an approved licensed food service facility or commercial kitchen; private residence kitchens are not permitted.
Bidders must submit valid copies of Federal, State, and City licenses along with their bids. Failure to submit these documents may result in disqualification.
