RFQ for HVAC Maintenance Service

Background
The Oregon Employment Department (OED) is seeking bids for ongoing maintenance, repair, and replacement services for the HVAC and controls system at the Ontario Field Office. The goal of this contract is to ensure proper operation of HVAC systems through regular maintenance and timely repairs, thereby supporting OED's mission to provide effective employment services.

Work Details
The contractor will provide ongoing maintenance, repair, and replacement services for the HVAC and controls system at OED’s Ontario Field Office located at 375 SW 2nd Avenue, Ontario, OR 97914. Services include:

- Preventative maintenance performed quarterly, semi-annually, and annually.
- Scheduled inspections and detailed operating equipment safety checks.
- Response to service calls with a 4-hour response time.
- Replacement of minor parts and components as needed.
- Maintenance reports required after each visit.
- Coverage of all rooftop units, exhaust fans, and HVAC related systems.
- Non-routine work requires written estimates and approval; parts billed at cost plus up to 20%.
- Technicians must be licensed and experienced with Daikin units and automated control systems. All work must be approved by OED’s Contract Administrator.

Period of Performance
The initial term of the awarded contract shall not exceed a total contract term of five (5) years.

Bidder Requirements
Bidders must have verifiable experience with Daikin units and servicing units controlled by a centralized HVAC control system such as Distech. Contractors must be licensed and certified to work on HVAC systems. All technicians must maintain required licensing and certifications for the duration of the contract.
