RFP No. 245014 Vehicle Body Repair and Painting

Background
The City of Salem is soliciting competitive sealed proposals from qualified auto body Service Providers to perform vehicle body repair and painting services on an 'as needed' basis for vehicles managed by the City’s Fleet Services Division. The City intends to award three non-exclusive contracts to the three highest ranked auto body shops as a result of this RFP. The selected Service Providers shall be asked to provide quotes on an 'as needed' basis as vehicle body work is needed throughout the term of the resulting agreements.

Work Details
The City's fleet consists of over 480 passenger, light and heavy-duty vehicles for various departments. The responsibilities of the Service Provider include having a repair facility located within the city limits of Salem, providing firm written price quotes for needed repairs, picking up drivable vehicles and transporting them to the Service Provider’s place of business at their expense, and performing work in a timely manner to meet promised deadlines for repairs.

The City will deliver non-operational, wrecked vehicles to the Service Provider’s place of business at the City’s expense. The paint process shall consist of primer, base coat, and clear coat. Service Providers will be evaluated based on their approach to the scope of services, ability to provide internal quality control, proposed fees including parts, labor rates, and any other charges factored into each quotation for body repair and paint services.

Period of Performance
Proposals will be received until 4:00 PM (local time), April 19, 2024. The notice of intent to award an agreement is expected in May 2024 with an anticipated agreement award in June 2024.

Place of Performance
The work will be performed within the city limits of Salem, Oregon.
