RFP for Computerized Maintenance Management System

Background
The State of Oregon, through its Department of Transportation (ODOT), is seeking a contractor to provide a Computerized Maintenance Management System (CMMS) under a Price Agreement for Services.
The goal of this contract is to enhance the operational efficiency of ODOT by implementing a robust CMMS that meets the agency's maintenance management needs.
The contract will utilize federal funds and includes an aspirational target for certified small businesses.

Work Details
The contractor will provide services related to the CMMS, which may include but are not limited to:
1. Project Management: Managing and tracking all work performed, producing status reports, maintaining a Gantt chart Work Breakdown Structure (WBS), and documenting meeting notes.
2. Consultation, Analysis, and Design: Conducting design meetings, providing feasibility summaries, documenting system architecture changes, and updating interface and functional specifications.
3. System Software Configuration: Implementing initial configurations, documenting configuration review processes, preparing data mapping deliverables, and performing unit testing.
4. Testing: Creating test plans and cases, executing functional testing, and documenting test results.
5. Training: Providing system instructions and user manuals, developing training plans, producing training materials, and conducting training sessions.
6. Implementation and Deployment Services: Delivering all necessary components for the CMMS to operate effectively across multiple environments including Test and Production.

Period of Performance
The initial Work Order Contract assignment period will last for 15 years from the effective date of the Price Agreement unless terminated earlier or extended based on contractor performance.

Place of Performance
The services will be performed at various locations as required by ODOT within the State of Oregon.
