Data Center Raised Floor Cleaning RFQ

Background
The Department of Administrative Services, State Procurement Services (DAS-SPS) is issuing this Request for Quotes (RFQ) on behalf of the Department of Administrative Services, Enterprise Information Services (EIS).

The State of Oregon Data Center provides State Agencies with high security, reliability, and availability for their servers with a tier 3 purpose-built physical data center. To maintain optimal operations and protect mission-critical infrastructure, EIS is seeking Data Center Raised Floor Cleaning Services.

Work Details
The Scope of Services includes full-service cleaning for a 16,000 square foot facility. Specific tasks include:
1. Floor Surface Cleaning: Vacuuming all carpeted and hard surface areas using an electrostatic discharge (ESD) high efficiency particulate air (HEPA)-filtered vacuum; damp mopping non-porous surfaces with a nonconductive floor cleaner while minimizing liquid use; following OSHA standards for safety.

2. General Surface and Equipment Cleaning: Vacuuming surfaces such as light fixtures and air conditioning units; wiping surfaces with anti-static cleaning solutions or ESD wipes.

3. Subfloor/Underfloor Cleaning: Removing and cleaning accessible floor panels by hand; vacuuming subfloor areas including cables and piping with HEPA-filtered vacuum.

4. Notification of Issues: Reporting any potential issues found during cleaning such as damaged parts or leaks; adhering to data center best practices including limiting liquids brought into the center and following ISO 14644 guidelines.

Period of Performance
The initial term of the Work Order Contract will be for two (2) years with options to renew for a maximum of five (5) years in total.

Place of Performance
Services will be performed at the State of Oregon Data Center located in Salem, OR.

Bidder Requirements
Offerors must have at least 1.5 years of prior experience providing data center cleaning services. They must submit qualifications, service plans, price quotes, and references from similar projects within the last three years.

Offerors must also comply with insurance requirements and provide proof of insurance coverage before contract execution.
