Background
The solicitation is for comprehensive subscription fulfillment, management, and promotion services related to Outdoor Oklahoma magazine subscriptions. The magazine is a four-color publication of approximately 52 pages produced every two months by the Oklahoma Department of Wildlife Conservation (ODWC). The readership includes hunters, anglers, wildlife watchers, conservationists, and other outdoor enthusiasts. The current number of subscribers is approximately 8,000.

Work Details
The vendor will provide comprehensive subscription fulfillment services for Outdoor Oklahoma magazine, including managing the subscriber database, entering new subscriber records and transactions, sending renewal notices, billing subscribers, balancing and depositing subscription payments, accepting and processing cash and check payments, providing a toll-free number for subscription services, advising ODWC on promoting the magazine to new subscribers, conducting new subscriber promotions as directed, and analyzing and reporting on basic subscriber data and promotional efforts.

Period of Performance
The contract will involve handling inbound telephone calls at customer convenient hours daily,
maintaining subscriber mailing lists weekly,
recording, balancing, and depositing subscription payments daily,
mailing out subscriber billing invoices twice monthly with a maximum of 3 mailings scheduled 3 weeks apart,
preparing Mainfile mailing lists every two months before scheduled mail-out of each issue and transmitting to ODWC and the printer/mailer for processing labels in a digital format usable by the printer/mailer.

The services will be performed for Outdoor Oklahoma magazine subscriptions managed by the Oklahoma Department of Wildlife Conservation.
