Description
Background
The Ohio Department of Education and Workforce (DEW) is required by program regulations to conduct periodic reviews of its USDA foods storage and distribution facilities. This solicitation aims to engage a contractor to perform physical inventory counts at two DEW-managed facilities located in Cleveland and Cincinnati. These counts are essential for maintaining accurate records of USDA food supplies.
Work Details
The selected Offeror will be responsible for conducting physical inventories at the Sysco Cleveland and Sysco Cincinnati facilities. The scope of work includes:
1. Pre-Data Collection: Schedule and complete physical inventories, providing DEW with a schedule at least two days prior to the counts. Mid-year inventories should occur between December 15-30, and annual inventories between June 15-30.
2. Data Collection: Record physical counts of goods on hand, including items for disposal due to spoilage or damage. Ensure all items not listed on the template are added with necessary details. Each page of the inventory documents must be signed by both the Offeror and Facility Manager for verification.
3. Post-Data Collection: Prepare a spreadsheet report comparing counted inventory against the Commodities Allocation Tracking System (CATS) report provided by DEW, documenting any discrepancies. Mid-year reports are due by January 15, and annual reports by June 30. All original hard copies, working papers, and electronic records must be submitted to DEW after each inventory.
Period of Performance
The contract will span over two fiscal years, with specific deliverables due during the mid-year inventory periods from December 15 to December 31 for FY26 and FY27, as well as annual inventories from June 15 to June 30 for both years.
Place of Performance
The contract will be performed at two locations managed by DEW: Sysco Cleveland and Sysco Cincinnati in Ohio.
Bidder Requirements
Prospective Offerors must demonstrate experience providing similar services within the last three years and have sufficient resources to meet deadlines. There are no set-aside certifications required for this solicitation.
