R&P - Special Events - Management Sponsorships

Background
The City of Columbus Recreation and Parks Department (CRPD) is seeking proposals from qualified agencies to solicit sponsorships from local, regional, and national businesses. The goal is to ensure proper management and fulfillment of sponsorship agreements while maximizing revenue to support festival operations for the annual Jazz & Rib Fest and CBUS Soul Fest. CRPD's Office of Special Events produces a variety of events throughout Columbus, aiming to enhance these experiences through strategic sponsorships that benefit both sponsors and festivals.

Work Details
The selected agency will be responsible for:

1. Sponsorship Solicitation:
- Identifying relevant sponsorship opportunities including individuals, national and local businesses, organizations, and brand sponsors.
- Developing tailored sponsorship packages and proposals in coordination with CRPD.
- Engaging potential sponsors through meetings, presentations, and follow-ups.
- Securing commitments from sponsors.

2. Sponsorship Management:
- Managing and fulfilling sponsorship agreements to ensure all sponsor benefits are delivered as promised before, during, and after each event.
- Coordinating with CRPD and stakeholders to integrate sponsorships into festival activities.
- Providing regular updates and reports to CRPD on the status of sponsorships.

Period of Performance
The contract term shall be one year up to three years, subject to annual approval and authorization by City Council. It does not automatically renew.

Place of Performance
The services will be performed in Downtown Columbus during the events Jazz & Rib Fest (July 24-26, 2026) and CBUS Soul Fest (August 14-15, 2026).

Bidder Requirements
Agencies must have valid contract compliance certification for any subcontractors used under this contract. The City prefers agencies located in Columbus or Ohio when other considerations are equal.
