514-26 Nuvolo Facilities Asset Management

Background
The Ohio Department of Transportation (ODOT) has implemented Nuvolo Facilities Asset Management to manage costs and labor activities across 12 districts and the Central Office, which includes approximately 2500 buildings. The system integrates with internal ODOT systems and includes modules for Facilities Asset Management, Sustainability, Warehouse Management, and Capital Planning. ODOT has developed 13 inbound data integrations and an outbound data integration for effective management.

The system also utilizes assessments, deficiencies, work projects, and approximately 100 iPads with the Nuvolo mobile app.

Work Details
The contractor will provide changes, enhancements, and upgrades to the Nuvolo system on a task-order basis. Specific services include:
- Assigning resources knowledgeable in ServiceNow and Nuvolo products.
- Providing resumes and hourly labor rates for all assigned resources.
- Maintaining contacts at Nuvolo for support or escalations.
- Assisting ODOT staff with product questions and potential changes.
- Creating or updating ServiceNow Agile stories to track estimates and progress.
- Grooming/refining ODOT Nuvolo stories as directed.
- Attending weekly meetings to review Agile sprint stories.
- Creating/enhancing ServiceNow Nuvolo reports as needed.
- Backing up Dev and Test environments before clone downs from PROD.
- Supporting product upgrades within ODOT's change control policies.
- Implementing software upgrades based on ODOT's direction.

Period of Performance
The contract is effective from July 1, 2025, through June 30, 2026.

Place of Performance
Services will be performed remotely; however, access to ODOT's ServiceNow DEV and TEST environments will be provided.

Bidder Requirements
Bidders must register as a State of Ohio Supplier with Ohio Shared Services and obtain an OAKS vendor identification number within fourteen days of contract award. They must also provide evidence of experience with ServiceNow and Nuvolo changes, enhancements, upgrades, staffing plans with resumes, references from similar projects, and demonstrate knowledge of required technologies.
