5101 Multifunction Copier Lease RICOH IM 8000

Background
The Central Ohio Area Agency on Aging (COAAA) is seeking to lease multifunction digital copier/printer systems to support its operational needs. The goal of this contract is to establish a purchase order for leasing three new copiers along with associated maintenance, services, and supplies as needed over a specified period.

Work Details
The contract involves leasing three (3) RICOH IM 8000 Multifunction Digital Copier/Printer Systems. The specifications for the copiers include:

- Single Pass Duplex Feeder with a minimum capacity of 100 sheets
- Printing/copying speed of at least 65 pages per minute
- An external finisher with stapler and hole punching capabilities with a minimum capacity of 3,000 sheets of 8 1/2 x 11 paper
- Ability to handle paper sizes up to 11 x 17

The paper supply configuration includes:
- Tray 1 with a capacity of 1,550 sheets (tandem for a total of 3,100 sheets)
- Trays 2 and 3 each holding 550 sheets
- Bypass tray with a minimum capacity of 100 sheets

Network connectivity must support Gigabit Ethernet, and the printing speed must be at least 65 pages per minute at a resolution of 600 x 600 dots per inch. The copiers should have a minimum RAM of 2GB and a hard drive capacity of at least 320GB. Additionally, scanning options must be available as per the full specifications outlined in the attachment.

Period of Performance
The lease period will cover from April 1, 2025, to March 31, 2028. The first twelve months will be from April 1, 2025, to March 31, 2026; the second twelve months from April 1, 2026, to March 31, 2027; and the third twelve months from April 1, 2027, to March 31, 2028.

The contract will be performed at COAAA located at 3776 South High Street Columbus Ohio 43207.
