Background
The Hudson River Park Trust is a public benefit corporation and a 501(c)(3) charitable organization established by the New York State Legislature. Its mission is to design, construct, maintain, and operate a four-mile-long waterfront park and estuarine sanctuary on Manhattan’s West Side. The Trust is preparing for significant events in Summer 2026, including the NY/NJ World Cup, Pride in Hudson River Park, and America’s 250 celebrations. These events are expected to attract large crowds to the park.
Work Details
The Contractor will provide on-call event production services to support the Trust's needs for various events. This includes:
1. Event Planning: Review event spaces for safety, cost, capacity; develop site plans; create budgets and timelines; manage contracts and permits; coordinate event planning calls.
2. Event Rentals and Operational Support: Manage subcontractors for equipment rentals (barricades, light towers, portolets), crowd management, ticketing services, security services, and waste management.
3. Specific Events:
- NY/NJ World Cup Activations (June 13 - July 19, 2026): Anticipated visitor increase of over 5,000.
- Pride in HRPK (June 28, 2026): Expected attendance of over 20,000; requires rentals of fences and operational support.
- America’s 250 (July 1 - July 9, focused on July 4): Expected attendance of over 70,000; requires extensive event planning and logistics support.
Period of Performance
The contract is expected to commence in March 2026 and continue through February 2027.
Place of Performance
The services will be performed at multiple locations throughout Hudson River Park's piers, esplanades, and greenspaces along the Hudson River from N Moore St. to West 59th St.
Bidder Requirements
Respondents must demonstrate previous experience managing high-capacity outdoor events (50,000+ attendees), particularly with limited infrastructure. They should have strong vendor relationships within New York City for equipment rentals and staffing. The Contractor must comply with M/WBE participation goals as specified in the contract.
