Description

SUNY Potsdam and SUNY Canton are soliciting bids from qualified vendors for bus transportation for the intercollegiate athletic program. The contract will be for a two- and one-half year period (2 1/2) beginning on January 1, 2025. All terms and conditions shall be in accordance with the bid documents provided in this advertisement. Details are included in the attached Invitation for Bid (IFB).

All questions are due via email on Friday, October 11, 2024, via email.

All responses to questions will be provided via an addendum in this posting on Tuesday, October 15, 2024.

Bids are due on Friday, October 25, 2024, at 3:00 pm.

Background
SUNY Potsdam and SUNY Canton are seeking bids for bus transportation services for their intercollegiate athletic programs. The goal is to secure a reliable transportation provider to ensure safe and comfortable travel for student athletes, coaches, and personnel during the 2024-2025, 2025-2026, and 2026-2027 academic years.

The contract will commence on January 1, 2025, and may be extended for two additional one-year periods upon mutual agreement.

Work Details
The contractor will provide bus transportation and qualified drivers for designated teams from specified campus locations to various destinations. Key requirements include:

1. Buses must be either 36 or 54-passenger over-the-road coaches equipped with lavatory facilities, heating, air conditioning, video capabilities, Wi-Fi, and must meet New York State safety standards.
2. Drivers must comply with New York State laws regarding transportation.
3. Local transportation may be required at destinations for meals, practices, games, etc.
4. A detailed Trip Schedule is provided in Section 9 of the IFB outlining anticipated trips.
5. The contractor is responsible for maintenance of buses and ensuring they are clean and safe.
6. In case of breakdowns, substitute transportation must be provided within two hours.

Period of Performance
The contract term is two and a half years from January 1, 2025, to July 31, 2027, with options to renew for two additional one-year periods.

Place of Performance
Services will primarily be performed at SUNY Potsdam (Maxcy Hall) located at Lake Placid Drive, Potsdam, NY 13676 and SUNY Canton (Roo House) located at 34 Cornell Drive, Canton, NY 13617.
