2026 Event Beverages

Background
The Natural Heritage Trust (NHT) is seeking bids for the supply of beverages for various events in 2026, including the Summer Run Series, Ironman, MDW Salute 250 Event, Jones Beach Volleyball, RM Pitch & Putt Tournament, Surf Fishing Tournaments, and Robert Moses Fluke Tournament.

The goal of this contract is to provide a sufficient quantity of beverages to support these events.

Work Details
The contractor will provide the following products:
- Soda & Iced Tea: Approximately 3,240 12-packs (1,620 cases) of 12 oz. cans. The specific types will be determined at the time of order placement. The contractor must accommodate variations in the amount ordered for each delivery.
- 8 oz. Water Bottles: Approximately 50 - 100 cases per event totaling around 1,150 cases (57,600 bottles). Each case contains 48 bottles (4,800 bottles total per week). Pricing for canned water must also be provided.
- 16.9 oz. Water Bottles: Similar to the 8 oz. water bottles with approximately the same quantities and pricing requirements as stated above.

Period of Performance
The contract will be effective through October 31st, 2026, with deliveries scheduled for specific event dates throughout the summer and fall of that year.

Place of Performance
Deliveries will take place at various locations in New York including:
- Jones Beach State Park (Wantagh)
- Heckscher State Park (East Islip)
- Sunken Meadow State Park (Kings Park)
- Belmont Lake State Park (N. Babylon)
- Caumsett State Historic Park Preserve (Lloyd Neck)
- Regional Headquarters (West Babylon)
- Hempstead Lake (Hempstead).

Bidder Requirements
Bidders must provide proof of insurance including Commercial General Liability Insurance with specified limits and endorsements naming the State of New York and NHT as additional insureds.

Additionally, bidders must provide proof of Workers’ Compensation and Disability Benefits Insurance through acceptable means as outlined in the solicitation.
