Background
The New York State (NYS) Division of Homeland Security and Emergency Services (DHSES) is seeking to acquire Conference Hotel Facilities and Catering Service for its 2026 DHSES OIEC Symposium & New York State 911 Coordinators Association Conference.
The event is scheduled to take place from May 4, 2026, to May 7, 2026, with the goal of providing a venue that can accommodate approximately 170 participants and offer necessary catering services.
Work Details
The contractor must provide the following services:
1. Adequate space for approximately 170 participants.
2. Overnight accommodations for up to 150 guests.
3. On-site restaurant or catering facilities capable of serving all meals with catering and wait staff for up to 170 guests.
4. Parking for at least 200 vehicles on premises or within a five-minute walk.
5. Audio and visual support as specified in the requirements.
6. Complimentary Wi-Fi for guests and conference attendees.
7. A dedicated Conference Service Manager to assist in planning the event details.

Period of Performance
The contract will commence upon approval from the Office of State Comptroller (OSC) and will be effective for one year.

The facility must be located within one of the following New York State Economic Regions: Central New York, Finger Lakes, Mohawk Valley, Southern Tier, or Western New York.
Bidder Requirements
Bidders must have a minimum American Automobile Association (AAA) rating of three diamonds or higher for their proposed facility. There are no set-aside certifications required for this contract.
