Background
Lincoln Electric System (LES) is issuing a Request for Proposal (RFP) for a cloud-based Digital Asset Management (DAM) solution. The goal of this contract is to create a single repository for large quantities of historical images, videos, audio, and graphics to improve efficiency in asset management and retrieval.
LES has been serving the Lincoln area for nearly 60 years, providing reliable electricity to approximately 275,000 people across a service area of about 200 square miles.
Work Details
The selected contractor will provide a comprehensive DAM solution that includes:
1. Project Planning & Discovery: Conduct an asset audit report detailing existing assets, develop a migration strategy and roadmap, and create a metadata and taxonomy strategy.
2. Configuration & System Setup: Configure the DAM environment with custom folders, user roles, and workflows; develop an integration plan with existing tools; and provide security documentation.
3. Data Migration & Validation: Successfully transfer all designated assets into the new system while ensuring metadata accuracy and functionality through quality assurance checks.
4. Training & Adoption: Provide user documentation, training sessions for key user groups, and an onboarding support plan.
5. Final Launch & Optimization: Execute system go-live with stakeholder approval, establish a post-migration maintenance plan, and deliver initial usage analytics reporting.
Period of Performance
The contract will be performed over three years with options to renew for two additional one-year periods. The project launch and training are expected to be completed by September 15, 2026.
Place of Performance
The services will be performed remotely; however, all data must remain within the United States unless specific written permission is provided by LES.
Bidder Requirements
Bidders must complete the LES Standard Services/Consulting Contract and provide proof of insurance from a company licensed in Nebraska with specified coverage levels. Additionally, bidders must complete the LES Form F790 (Confidentiality & Security Agreement) and Form 51 (Equal Employment Opportunity Compliance). Winning bidders are required to complete LB1300 certification.
