Description

Background
The Charlotte-Mecklenburg Board of Education (CMBE) is seeking qualified contractors to provide repair and preventive maintenance services for refrigerated cafeteria equipment across the district. The CMBE's mission is to ensure that all students have access to nutritious meals, and maintaining the functionality of cafeteria equipment is critical to this mission. This contract aims to secure a reliable service provider who can ensure that all refrigerated equipment operates efficiently and effectively.

Work Details
The contractor will provide all labor, tools, equipment, devices, appliances, and materials necessary for routine, emergency, and special situation repairs of refrigerated cafeteria equipment. Services include:

- 24/7 availability
- Office phone service from 7 AM to 4 PM on weekdays
- No subcontracting without prior written approval from CMS

Equipment includes walk-in cold storage, reach-in cold storage, frost-top units, ice machines, deli cases, bottle chillers, milk boxes, and ice cream freezers. The contractor must respond to service calls within 24 hours and provide written summaries of work performed. Preventive maintenance services are required twice a year for all refrigeration equipment. The contractor must also maintain valid licenses by the state of North Carolina.

Period of Performance
The initial term of the contract is five (5) years starting from the date of final contract execution or August 1, 2026, whichever is later. The CMBE has the option to renew the contract for up to three (3) additional one-year terms.

Place of Performance
Services will be performed at various locations within the Charlotte-Mecklenburg School district.

Bidder Requirements
Bidders must demonstrate experience with similar public or private sector clients. They must complete Attachment D: MWSBE to indicate minority-owned status or plans for diverse subcontractor utilization. Vendors must also provide at least three references using Attachment E: Customer Reference Form.
