Lease and Maintenance of Multifunctional Digital Copiers and Printers

Background
The Mooresville Graded School District (MGSD) is issuing this Invitation for Bid (IFB) to establish a contract for the lease and maintenance of multifunctional digital copiers and printers. The goal is to enhance operational efficiency across the district's schools and offices by providing reliable and high-performance equipment. This contract aims to support the district's mission of delivering quality education through improved administrative processes.

Work Details
The contract involves the lease and maintenance of approximately seventy-two (72) copiers and three (3) printers, which will be strategically deployed across nine (9) MGSD schools and designated district offices. Vendors must provide brand-new, current-production equipment only; used or refurbished devices will not be accepted.

Additionally, a comprehensive Print Management Software Solution is required to monitor, control, and optimize the performance of the entire fleet. This solution should support usage tracking, cost allocation, and administrative reporting. Proposals must include separate pricing for:
1) Fair Market Value (FMV) Lease Proposal for equipment acquisition;
2) Per Copy Maintenance Agreement Proposal for ongoing maintenance services. The bid must also include all-inclusive Black & White and Color Cost Per Copy rates for all devices.

Period of Performance
The installation of equipment is anticipated to occur in June 2026, with the contract commencing upon successful installation and acceptance of all deliverables. The contract will remain in effect for a fixed term of five (5) years.

Place of Performance
The services will be performed at various locations within the Mooresville Graded School District, specifically across nine schools and designated district offices located in Mooresville, North Carolina.

Bidder Requirements
Vendors must demonstrate experience with public or private sector clients with similar needs to MGSD. Local or in-state experience serving other school districts is considered advantageous. Vendors are required to provide at least three references from similar projects. Additionally, vendors must comply with all state regulations regarding employment verification through E-Verify for their employees.
