HVAC Preventative Maintenance Services

Background
The City of Durham is seeking a qualified vendor to provide HVAC Preventative Maintenance Services. This initiative aims to ensure the proper functioning and longevity of HVAC systems across various city facilities.

The contract will be awarded based on proposals received in response to this Request for Proposals (RFP), which was issued on February 10, 2025.

Work Details
The contractor will perform regular preventative maintenance on HVAC equipment as specified in the Facility and Equipment List. The scope includes providing materials, labor, equipment, tools, and services necessary for maintenance tasks such as inspections, adjustments, replacements of worn or defective parts, and diagnostics.

Specific tasks include:
- Maintaining and servicing equipment listed in the Facility and Equipment List, including cooling towers, chillers, heating boilers, and condensing units across various city locations.
- Performing scheduled maintenance during normal working hours with a minimum of 48 hours' notice prior to mobilization.
- Submitting detailed service reports for each piece of equipment to the City Representative.
- Ensuring compliance with OSHA safety standards during maintenance activities.
- Handling hazardous waste disposal according to federal, state, and local regulations.
- Providing additional repair services as needed with prior written estimates for labor and materials.

Period of Performance
The initial term of the contract is one year with an option to renew for up to four additional years based on satisfactory annual evaluations. The contract is expected to commence on June 1, 2025.

Place of Performance
The services will be performed at various city facilities located in Durham, NC including City Hall, Police Headquarters, Parks and Recreation Administration building, and others as detailed in the Facility and Equipment List.
